The contract for the use of banquet rooms (hereinafter referred to as the “Banquet Contract”) entered into between Disney Ambassador® Hotel and Tokyo DisneySea Hotel MiraCosta® (hereinafter referred to collectively as “the Hotel”) and its Guests shall be governed by the provisions of these Banquet Regulations. Matters not provided for herein shall be governed by laws and ordinances or generally established customs.

Conclusion of the Banquet Contract

The Banquet Contract conclusion date shall be the date on which the “Guidance Documents” are issued by the Hotel following an application to secure the banquet and or related proceedings, etc. (hereinafter referred to as “the banquet”) by the Customer.

Payment

○ The final estimate amount provided by the Hotel (hereinafter referred to as the “cost of the banquet”) shall be paid in full, in cash or by bank transfer, at least seven days before the date of the banquet.

○ If the payment has not been received by the adjustment date stipulated at the time of application, a late payment charge will be applied.

Additional Costs Added After Payment

Any additional costs incurred after the cost of the banquet has been paid should be paid in cash or by bank transfer within 30 days from the date of the banquet. Please note that if a surplus arises after paying the cost of the banquet, this will be refunded quickly following adjustment after the banquet.

Banquet Room Cost and Additional Room Cost

The usage time of the banquet room includes the entire period from setup to takedown. In addition to the designated room cost for the usage time agreed upon in advance with the relevant contact at the Hotel (hereinafter referred to as “the contracted time”), if the contracted time is exceeded, the designated additional room cost will also be charged. However, please note that the Hotel may be unable to accommodate extensions over the contracted time if another party is due to use the room after the relevant party.

Confirming the Number of Paying Guests

Please inform the relevant contact at the Hotel of the number of Guests requiring food, etc. (hereinafter referred to as “number of paying Guests”) before midday three days before the date of the banquet. After that, since all arrangements will have been completed at that point, even if the number of paying Guests decreases, you will still be charged for the entire number of paying Guests.

Cancellation and Date Amendment Fee

If you wish to cancel or change the date of a banquet for which a reservation has already been concluded, you will be required to pay the following cancellation or date amendment fee.

○ Up to 121 days before the date of the banquet:
 Cancellation fee: Actual expenses incurred for both banquet and conference.
 Date amendment fee: Actual expenses incurred for both banquet and conference

○ Between 120 and 61 days before the date of the banquet:
 Cancellation fee: 30% of the cost of the banquet and actual expenses incurred for banquet; 30% of the conference room cost for the contracted time and actual expenses incurred for conference.
 Date amendment fee: 20% of the cost of the banquet and actual expenses incurred for banquet; 20% of the conference room cost for the contracted time and actual expenses incurred for conference.

○ Between 60 and 31 days before the date of the banquet:
 Cancellation fee: 40% of the cost of the banquet and actual expenses incurred for banquet; 40% of the conference room cost for the contracted time and actual expenses incurred for conference.
 Date amendment fee: 30% of the cost of the banquet and actual expenses incurred for banquet; 30% of the conference room cost for the contracted time and actual expenses incurred for conference.

○ Between 30 and 16 days before the date of the banquet:
 Cancellation fee: 60% of the cost of the banquet and actual expenses incurred for both banquet and conference.
 Date amendment fee: 50% of the cost of the banquet and actual expenses incurred for both banquet and conference.

○ Between 15 and 2 days before the date of the banquet:
 Cancellation fee: 80% of the cost of the banquet and actual expenses incurred for both banquet and conference.
 Date amendment fee: 70% of the cost of the banquet and actual expenses incurred for both banquet and conference.

○ Cancellation or amendment fee on the day before or the day of the banquet.
 Full cost of the banquet for both banquet and conference.

  • Regarding the cost of the banquet, if the cost of food and drinks is unconfirmed, this will be calculated at the basic rate of 10,000 yen per Guest.
  • Regarding programs featuring Disney Characters appearances, the Customer is required to pay the cancellation fee as specified in the guidance for each program (provided separately).

Use of Parking Areas

○ Guests attending the banquet who wish to use the parking area may park free of charge for up to three hours. After three hours, Guests will be required to pay the parking charges.

○ Guests who wish to use a parking area provided at Tokyo Disneyland® Park or Tokyo DisneySea® Park (hereinafter referred to as “the Parks”) rather than the Hotel parking area will be required to pay the relevant parking charges.

○ Driving under the influence of alcohol is prohibited by law. Guests who plan to drink alcohol should not travel to the Hotel by car.

Arranging Decorations and/or Entertainment

The Hotel will entrust the arrangement of components such as decorations, sound, lighting, entertainment, and banquet companions to its designated contractors. We ask that you refrain from hiring contractors other than those designated by the Hotel. Where this cannot be avoided, please consult with the relevant contact at the Hotel. (Please do not hire contractors directly without first obtaining permission from the Hotel.)

Request to Directly Hired Contractors

Contractors hired directly by the Customer with the consent of the Hotel must follow the instructions issued by the Hotel when carrying in/out equipment and arranging locations for components such as decorations and entertainment related to the banquet and when arranging the sizes, mounting methods, and locations of signs and other installations.

Payment of Damages

The Customer and all relevant parties (including Guests of the banquet and contractors hired directly by the Customer) must take proper care to ensure that no facilities or equipment at the Hotel are damaged. In the unlikely event that something is broken or damaged, the Hotel will issue a request for that item to be repaired, following which the Customer must quickly repair the damaged item or pay compensation for the damage (including compensation for business suspension).

Prohibitions

The following matters are prohibited. Thank you for your understanding.

○ Bringing in dogs—except Assistance Dogs (Mobility Service Dogs, Hearing Dogs and Guide Dogs) —cats, small birds, or any other pets or domestic animals

○ Bringing in food or drink

○ Bringing in explosive or flammable items

○ Bringing in items that emit a foul odor

○ Installing flags, signs, etc. within the Hotel (except when given permission in advance)

○ Relocating, damaging, or soiling equipment, etc.

○ Consumption of alcohol by persons under the age of 20

○ Behavior that is contrary to public order and morals or causes a nuisance to other customers

○ Use of public advertising media such as television, radio, newspapers, magazines, etc., the Internet, and various social media (except those that are viewable only by the relevant parties) to recruit participants without permission

○ Making audio or video recordings of the banquet proceedings or live streaming the proceedings on social media for business purposes without permission

○ Making private audio or video recordings of the banquet proceedings and posting on the Internet, etc. for business purposes without permission

○ Infringing or being at risk of infringing the copyrights, trademarks or other intellectual property rights, property rights, trade secrets, privacy, portrait rights or other rights of other customers, third parties, the Hotel, companies affiliated to the Hotel, the Hotel’s employees, etc. or Disney.

○ Selling of merchandise

○ Using the facility for a purpose other than the purpose stated at time of reservation

○ Any other behavior that is prohibited by laws and ordinances

Right of Refusal to Enter the Banquet Contract

The Hotel reserves the right to refuse the Banquet Contract in the following cases.

○ If the person submitting the application for a banquet falls under any of the following grounds:
 • Designated organized crime groups as defined by the Act on Prevention of Unjust Acts by Organized Crime Group Members (Act No. 77 of 1991), members of designated organized crime groups, persons associated such groups, and any other antisocial forces (hereinafter referred to as “organized crime groups”)
 • Businesses or other organizations, and their members, whose business activities are controlled by organized crime groups
 • Businesses in which persons affiliated with organized crime groups serve as directors, or their members
 • Persons who are likely to behave in a way that violates laws and ordinances or public order and morals

○ When a person behaves in a way that causes a severe nuisance to other Guests

○ When a person makes violent demands toward the Hotel or employees of the Hotel, or makes a request that exceeds rational expectations (includes where a person is deemed to have behaved in such a way), such as the requests that follow:
 a) Provision of services not provided by the Hotel
 b) Provision of services that are contrary to public order and morals
 c) Request for discounts without a valid reason
 d) Provision of services, etc. not included in the Banquet Contract, without a valid reason

○ When a person violates the Banquet Regulations (includes cases where the Hotel deems that there is a danger of violation)

○ When it is expected that the organizer or Guests of the banquet may be subject to protest activities or harassment on the day of the banquet and the Hotel deems that this will cause a nuisance to other Guests or the nearby area.

○ When the Hotel deems on reasonable grounds the intended use of the Hotel to be unacceptable

Cancellation of the Banquet Contract

The Hotel reserves the right to cancel the Banquet Contract in the following cases.

○ When a person violates the Banquet Regulations

○ When payment has not been received by the designated date after the invoice for the cost of the banquet has been issued

○ If a Guest of the banquet falls under any of the following grounds:
 • Designated organized crime groups as defined by the Act on Prevention of Unjust Acts by Organized Crime Group Members (Act No. 77 of 1991), members of designated organized crime groups, persons associated such groups, and any other antisocial forces (hereinafter referred to as “organized crime groups”)
 • Businesses or other organizations, and their members, whose business activities are controlled by organized crime groups
 • Businesses in which persons affiliated with organized crime groups serve as directors, or their members
 • Persons who are likely to behave in a way that violates laws and ordinances or public order and morals

○ When a person behaves in a way that causes a severe nuisance to other Guests

○ When a person makes violent demands toward the Hotel or employees of the Hotel or makes a request that exceeds rational expectations, such as follows:
 a) Provision of services not provided by the Hotel
 b) Provision of services that are contrary to public order and morals
 c) Request for discounts without a valid reason
 d) Provision of services, etc. not included in the Banquet Contract, without a valid reason

○ When it is expected that the organizer or Guests of the banquet may be subject to protest activities or harassment on the day of the banquet and the Hotels deems that this will cause a nuisance to other Guests or the nearby area.

○ When the Hotel deems on reasonable grounds the intended use of the Hotel to be unacceptable

Regarding Force Majeure

The Banquet Contract shall be automatically cancelled in the event it becomes impossible to use the banquet hall due to natural disaster, the spread of infectious diseases, a request from the government to restrain or suspend business activities, other administrative guidance from the government; or in the event that the Hotel is unable to use the banquet hall due to a breakdown at the facility, or any other reasons not attributable to the Hotel.

In such a case, the Hotel shall refund the Customer the amount of money received after deducting costs (actual costs incurred by the Hotel in connection with the Banquet Contract) to be determined in separate consultation between the Hotel and the Customer.

Due to the spread of infectious diseases or administrative guidance from governmental authorities, some of the contents of the Banquet Contract with the Customer (including the number of Guests to be accommodated, dining and other services, the contracted time, appearances by Disney characters, and the content of the performance) may be changed. The Hotel will not be required to pay any penalties regarding partial changes to the contents, except for reasons attributable to the Hotel. Note that the content of the changes will be determined through separate consultation between the Hotel and the Customer.

Amendments to Banquet Regulations

The Hotel reserves the right to amend the Banquet Regulations at its discretion in the following cases:

○ The amendment to the Banquet Regulations is in the general interest of the Customer.
The purpose of the amendment to the Banquet Regulations does not conflict with the purpose of the Banquet Contract and is reasonable in light of the necessity of the amendment, the reasonableness of the content after the amendment, the content of the amendment, and other circumstances pertaining to the amendment.
In the event the Banquet Regulations are amended in accordance with the above, the Hotel shall notify the Customer at least two weeks prior to the effective date of the amended Banquet Regulations.
The Hotel will notify Guests of amendments to the Banquet Regulations, the content of the amendment, and the effective date of the amendments via the Hotel website (URL:https://www.tokyodisneyresort.jp/hotel/dh/banquet/)

If the Customer has made an application for the Banquet Contract after the revised Banquet Regulations come in to effect, the Customer shall be deemed to have agreed to the revised Banquet Regulations.

Other

○ The Hotels are operated in accordance with the Guidelines on the Rules and Regulations of the Walt Disney Company, under license from Disney Enterprises, Inc. in the United States. Therefore, please note that we may be unable to fulfil the wishes of our Guests in relation to the use of Disney Characters.

○ Regarding programs featuring Disney Characters appearances, please see the guidance for each program (provided separately).

○ If you wish to hold a performance that includes percussion instruments, such as large drums, at the banquet, etc., please consult with the relevant contact at the Hotel in advance, since the performance is likely to effect other facilities.

○ If you wish to take photographs or videos of the Hotel’s employees, etc. (excluding performers at the banquet, etc.), please obtain their consent in advance.

○ Please be aware that the buildings, trees and plants, decorative items, and furnishings at the Hotel may be changed without warning due to the conservation, maintenance, or management of the facilities and landscapes.

○ Please also note that if any of the following circumstances, an announcement may be broadcast throughout the Hotel, and the proceedings of the banquet may be interrupted or suspended.
 • In the event of an earthquake that produces strong tremors
 • In the event that the nationwide warning system (J-alert) broadcasts an alert
 • In the event that a fire alarm installed in the Hotel in accordance with the Fire Service Act detects smoke due to a fire or other reasons
 • Where the Hotel or the Parks deems it necessary in order to ensure the safety of Guests

○ The Hotel shall accept no gratuities in addition to the designated cost.

○ The Terms of Use separately established by the Hotel shall apply when using the Hotel’s facilities, including banquet rooms.
